This page will give you more info on our Missed Class Terms & Conditions as well as How to Cancel & Reschedule.
If you cannot make it to your scheduled class, we ask that you kindly let us know as early as possible.
When you notify us at least 4 HOURS OR MORE PRIOR to start time, you will keep that class credit in your account to use as a make-up session.
TERMS & CONDITIONS
* It is your responsibility to cancel yourself out of classes, failure to notify within the 4 hour window will result in that class being forfeited.
* All make ups must be taken within the same term, classes cannot be transferred to future terms.
* A maximum of 2 make up sessions will be permitted per student per term -
The content in our term courses progresses each week, for your safety and enjoyment it is important to train regularly and attend all classes throughout the term. To progress to the next level, you will need to complete at least 75% of the course work. That means if you miss more than 2 classes in a term, it is very unlikely you will have achieved the skills required to go up a level.
(This rule does not apply to students repeating a course who pre-arrange time off in advance)
* Private lessons can be booked to cover content missed but make up classes cannot be used as credit towards private lessons or other services.
* Alternative classes that can be taken for your make up session must be in the same level or lower. Occasionally casual classes can be taken to substitute a missed term class, please speak with the front desk to see what options are available.
* Unlimited Packages - students on unlimited packages will be charged a $15 cancellation fee for late cancels and no shows. You authorise Pol-arise Newcastle to process the on file in the case of late cancellations and accept any dishonour fees that apply to failed payments.
Exceptions -
If you miss out on the Early Cancellation Window, you will forfeit that session BUT we still appreciate as much notice as you can give us. AND if your class happens to fall below minimum numbers and is cancelled, the system will apply a credit to every student in that class (regardless of late cancels) so make sure you still let us know!
HOW TO CANCEL A CLASS!
You can cancel yourself out online with our Self-Service Option:
- Go to the Mindbody Booking Portal and login.
- All currently enrolled students already have a user profile (please do not create a new account). If it’s your first time using Mindbody, go to the “New to Our Site?” section and type in your first and last names. The system will find you and you can select your profile from there and create your unique login.
- Once you’re in your account, go to the "My Schedule" tab at the top of the page. You will see all the classes you are currently enrolled in. Find the one you wish to cancel out of and hit the Cancellation button on the right hand side of the page. This will remove you from that one class only (it will not remove you from the entire term).
If you cannot cancel yourself out online, you must advise us in writting via one of the following options:

PLEASE DO NOT post about missed classes on the Pol-arise Student Community Facebook group page – these posts will be removed by moderators.
BOOKING A MAKE-UP CLASS!
You can either book your make-up at the same time as cancelling out of your regular class or book it at a later date. Just remember that it must be taken within the same term for signature course bookings and before your package expiry for casual classes! ,
When you have cancelled out of a class, the system will apply 1 class credit to your account which can then be used to reschedule.
Term Class – make up sessions cannot be booked online.

Casual Class – rescheduling is easy online!
Simply go to the Casual Class tab, select the class you wish to attend and click “Sign Up Now”
* The system will enrol you for one class only and use any class credits you have owing to you.
* If you do not have a class credit you will be required to pay for the class before it will enrol you. Remember, the system will ONLY apply a class credit if you have cancelled out of a class at least 4 hours prior to the commencement of that class.
